Choosing an online booking system for a small salon: a checklist

Booking software for big chains is overkill for a studio of one to five people. Here is what actually matters when you choose.

Most booking systems are built for chains: dozens of locations, stock management, payroll. If you run a studio of one to five people, you need something much simpler, and the extra features only get in the way.

Use this checklist to judge any booking system, including ours.

What your clients need

  • No account. Every extra step loses bookings. Clients should book with a name and an email, nothing more.
  • A phone-first page. Most bookings happen on a phone, often straight from Instagram. The page must load fast and work with one thumb.
  • Real free times. Clients should see only times you can actually do, for the service they chose and the person they want.
  • A confirmation and a reminder. Right after booking, and again the day before.
  • Their own language. If you have tourists or expat clients, a page that switches to their language feels like a welcome. Noopi pages can be shown in Czech, English, Polish, German, French, Spanish and Italian.

What you need

  • A calendar per person. Each team member has their own hours and services, and clients can choose who they book.
  • Control over who gets in. Instant booking for regulars, approval for new clients or for long services.
  • A client list that builds itself. Every booking adds the client with their history, visits and notes, without typing anything in.
  • Notifications that reach you. A push on your phone for every new booking or request, so you can answer between clients.
  • Something that looks like you. Your photos, your services, a style that fits your place, without hiring a designer.

What you can skip

  • Marketplaces. Being listed next to every competitor in town brings price comparison, not loyalty. Your own link keeps clients coming to you.
  • Features you won't use. Stock tracking and multi-location reports are great for chains and noise for a small studio.

How to test before you switch

Book a visit on your own page from your phone, as a client would. Count the taps. Then cancel it and see how fast the time is free again. If either feels clumsy to you, it will feel worse to your clients.

Frequently asked questions

How long does it take to set up? With Noopi, about five minutes: pick a look, adjust the services we pre-fill for your trade, and put the link in your bio.

Can my team use it too? Yes. Each person gets their own calendar and services, and you decide what everyone can see and change.

Does it work for therapists, coaches and tattoo artists? Yes. Anyone who sells their time by appointment can use it, with approval for the bookings you want to check first.
